Field Course Terms and Conditions

Each individual participating in a Rainforest and Reef Field Course should read the following carefully. Fill in all required information and return to the address at the bottom of this form. Please do not return until complete.

FIELD COURSE FEES: All Field Course fees are quoted in U.S. Dollars, unless otherwise specified. In the event that there are increases in costs to Rainforest and Reef, we reserve the right to alter any quoted price. Field Course fees are based on group rates to which considerable discounts have been applied.

FIELD COURSE FEES INCLUDE: Accommodations, meals specified in each itinerary (B: Breakfast, L: Lunch and D: Dinner), Guides fluent in English and other languages, where specified, Specialist Guides where appropriate, transportation, including Drivers, transfers, boat and aircraft fees as specified, including operator, entry fees, tax and service charges.

FIELD COURSE FEES DO NOT INCLUDE: Anything not specified in each itinerary, personal items, gratuities to Guides/Drivers, country departure taxes or Domestic/International airfare.

PAYMENTS and DEPOSITS: To reserve a place in any Rainforest and Reef Field Course a 250.00USD deposit is required. Full payment is due 60 days prior to the beginning of any Field Course. Deposits and payments can be made by organization/personal check, money order or certified check made out to Rainforest and Reef. Bank wire transfers are also an acceptable form of payment. In the case of bank wire transfers, each payer is expected to assume all outgoing fees charged by their bank and incoming bank fees charged to Rainforest and Reef.

CANCELLATIONS and REFUNDS: Cancellations are treated as such only when received in writing. 50.00 of the initial deposit are refundable up to 60 days prior to the beginning of any Field Course. Cancellations made 60 days or less prior to the beginning of any Field Course will be subject to forfeiture of the entire Field Course cost. Comprehensive travel insurance is recommended.

DOCUMENTATION: Prior to departure, each Rainforest and Reef Field Course participant must verify that all documents, including passport, visa (if required), immunization records (if required) and airline tickets are in order. This is your responsibility. It is highly recommended that you make a photocopy of the identification section of your passport (the two pages that include your photograph) and this be kept in a safe location separate from your official passport. It is also recommended that you carry a second form of identification, such as a valid birth certificate and/or driver’s license.

CONDUCT: Rainforest and Reef and its designated Field Course representatives reserve the right to disqualify any Field Course participant should their actions and/or general deportment impede the operation of the Field Course, rights, welfare or enjoyment of other Field Course participants. If a participant is required to leave, there will be no refund for any unused portion of the Field Course. They will also be responsible for all additional transportation costs and flight penalties that may be incurred.

RESPONSIBILITY: Rainforest and Reef purchases transportation, lodging, meals and other services from and through our various partners at each of our Field Course destinations. These services are not subject to our control. Rainforest and Reef, its board members, associates, agents and employees give notice that they assume no responsibility for injury, loss or damage to person or property in connection with any service resulting directly or indirectly from acts of God, detention, annoyance, delays and expenses arising from quarantine, strikes, thefts, pilferage, force majeure, failure of any means of conveyance to arrive or depart as scheduled, civil disturbances, government restrictions or regulations, discrepancies or change in transit or hotel service over which it has no control. Rainforest and Reef is not responsible for loss of life, personal injury, cancellations, delays, over-bookings, loss or damage of baggage, and/or any loss of services as a result of the same caused by travel in any country that one of our Field Courses is operating. Reasonable changes in an itinerary may be made where deemed advisable for the comfort and well-being of Field Course participants. With advance deposit to Rainforest and Reef each depositor therefore agrees to be bound by the above recited terms and conditions.

I have carefully read this entire Terms and Conditions document. I fully understand all of contents and agree to same. For those bringing an entire group please make copies of this document and have each Field Course participant read completely, sign and date. This document should be read and signed by a parent or legal guardian for any Field Course participants under the age of 18.
